This Lead Manager role involves overseeing 2 departments:
- Marketing Department

Lead Managers oversee all aspects of the departments and support the individuals in those departments, including the Department Head.
The IT Department Head will oversee all things IT-related. Their responsibilities will include: assisting leads, reviewing lead reports, reviewing project proposals, being involved in the department meetings and reporting their weekly achievements to the lead manager. |
The Lead of Website development will be responsible for overseeing all things PHS website-related. This includes adding, updating, and revising pages. |
The Lead of Website Development Assistant will assist the Lead will all website-related projects. The assistant will also be responsible for assisting the Lead will taking notes during meetings and creating reports for the upper management meetings. |
The Lead of Live Sessions will ensure that the technology during the live sessions functions properly. This lead will be required to be reachable during the live sessions in case there is an interruption. The technology used during live sessions consists of Zoom, Google Slides/ Powerpoint, the PHS website, and the live session quizzes. |
The Lead of Live Session Tech Support Assistant will assist the Lead will all live session-related requests/ incidents. The assistant will also be responsible for assisting the Lead will taking notes during meetings and creating reports for the upper management meetings. |
The IT Lead will assist with all other IT-related projects. This position is still in the early development stage. In the future they might help to oversee tasks such as creating the PHS application and other IT projects. |
The IT Assistant will assist the Lead will all live session-related requests/ incidents. The assistant will also be responsible for assisting the Lead will taking notes during meetings and creating reports for the upper management meetings. |
The Department Head of the Finance Department will serve as the individual who oversees everything and anything that happens each week in the Finance Department. They will maintain communication with the other Leads of the Finance Department and ensure that tasks get completed in an efficient manner. Will strategize with other Leads in Finance Department to solve solutions and yield successful efforts in Finance-related events. |
The Lead of Grants will act as the main contributor to writing grants for Pre-Health Shadowing. They will be responsible for discovering and researching opportunities for funding that aligns with Pre-Health Shadowing’s overall mission. They will construct, organize, and execute polished grant proposals that will yield high success in earning grant money for Pre-Health Shadowing. Will maintain communication with the Finance Department Head and Finance Assistant in Grants. |
The Finance Assistant in Grants will work alongside the Lead of Grants in the process of submitting, constructing, and improving grants relative to Pre-Health Shadowing. Duties will also consist of maintaining communication with the Lead of Grants as well as relaying that information to a team of dedicated volunteers. |
The Lead of Sponsorships will act as the central individual in charge of negotiating and maintaining sponsorships for Pre-Health Shadowing. They will be responsible for openly communicating with sponsors, designing sponsorships proposals alongside the Finance Assistant of Sponsorships, and providing key administrative support to sponsorship or other related projects. They will also work alongside the Marketing Team to enhance the overall success of acquiring top-level sponsors that will benefit Pre-Health Shadowing and continue the Pre-Health Shadowing mission. Will maintain communication with the Finance Department Head and Finance Assistant in Sponsorships. |
The Finance Assistant in Sponsorships will work alongside the Lead of Sponsorships in the process of organizing, submitting, and maintaining a wide array of sponsorships that will help continue Pre-Health Shadowing overall mission. Their additional duties consist of maintaining communication with the Lead of Sponsorship as well as relaying that information to a team of dedicated volunteers. |
The Lead of Donorsship will act as the main communicator with current and potential donors of Pre-Health Shadowing. Their duties include searching different platforms that provide information on donors to similar organizations to Pre-Health Shadowing, in which they will establish connections with these individuals through different platforms. These platforms consist of e-mail and LinkedIn. They will construct templates to be sent to these potential donors and work alongside the Finance Assistant in Donorship to efficiently send these important messages. Will maintain communication with the Finance Department Head and Finance Assistant in Grants. |
The Finance Assistant in Donorship will work alongside the Lead of Donorship in the process of creating, sending, and maintaining communication among both current and potential sponsors to Pre-Health Shadowing. Duties will also consist of maintaining communication with the Lead of Donorship as well as relaying that information to a team of dedicated volunteers. |
The Lead of Fundraising will be in charge of designing all fundraising projects for Pre-Health Shadowing. This individual will serve as an individual who researches new fundraising ideas, submits proposals to the Pre-Health Shadowing Board for approval, creates promotional content for events with the help of the Marketing Department, and keeps account of the success of each individual fundraising event. Will maintain communication with the Finance Department Head and Finance Assistant in Fundraising. |
The Finance Assistant in Fundraising will work alongside the Lead of Fundraising in the process of researching, submitting, creating promotional content, and keeping track of different fundraising events that will be hosted by Pre-Health Shadowing. Duties will also consist of maintaining communication with the Lead of Fundraising as well as relaying that information to a team of dedicated volunteers. |
The Department Head of the Marketing Department will serve as the individual who oversees everything and anything that happens each week in the Marketing Department. They will maintain communication with the other Leads of the Marketing Department and ensure that tasks get completed in an efficient manner. The Lead of Social Media: Instagram is responsible for maintaining the official PHS Instagram account. This includes (but is not limited to): posting and organizing content, responding to comments, responding to DMs, promoting content, and initiating new ideas for the page, among others. |
The Assistant Lead of Instagram Strategist focuses on researching and developing strategies to aid the growth of the page. This includes: measuring the success of each type of post, developing reports to serve as constructive feedback, and using marketing tools, among others. They assist the Lead directly and may take over the role of Lead if the Lead is unavailable. The assistant is also in contact with the volunteers to facilitate organization and collaboration amongst the team. |
The Lead of Social Media: LinkedIn is responsible for maintaining the official PHS Linkedin account. This includes: posting articles and updates, reposting relevant posts from others, posting shadowing sessions, and featuring students within the organization, among others. |
The Assistant Lead LinkedIn Strategist is responsible for developing and implementing strategies for the official PHS Linkedin page. This includes: measuring the success of each type of post, developing reports to serve as constructive feedback, and using marketing tools, among others. They will work closely with the editorials department to feature pieces of work. They assist the Lead directly and may take over the role of Lead if the Lead is unavailable. The assistant is also in contact with the volunteers to facilitate organization and collaboration amongst the team. |

This includes (but is not limited to): posting and organizing content, updating the page will for all upcoming events, responding to comments, responding to DMs, promoting content, and initiating new ideas for the page, among others. |

The Lead of Creative Design is responsible for creating media content. This includes (but is not limited to): developing advertising and marketing materials such as flyers, posts, logos, and other works of art to support the various ongoing projects within PHS. |
The Assistant Lead of Creative Design focuses on assisting the Lead and managing the volunteer team to ensure projects are being organized, distributed, and approved. The assistant will also keep up with deadlines and support the volunteers and Lead in various projects where needed and/or requested. |
The Lead of Video Productions is responsible for creating video media content. This includes (but is not limited to): planning, implementing, and editing, all aspects of video projects, coming up with new ideas and maintaining logistics to ensure copyright or other legalities are not compromised, among others. The goal of this role is to display the various aspects of PHS, focusing on opportunities and diversity within the organization. |

The Lead of Tutoring oversees the Tutoring program. This includes (but is not limited to): maintaining organization within the program, acting as the main point of contact for all program-related questions or inquiries, and overseeing all operations within the tutoring program, among others. The Lead of THP oversees the Transfer to Healthcare program. The Lead of Research Program oversees the PHS research program. The Research Assistant Lead directly assists the Lead of the Research Program with tasks, maintenance, and organization to ensure all operations are smoothly running, among others. The Lead of Shadowing Live Session Program oversees the shadowing program. This includes (but is not limited to): maintaining organization within the program, acting as the main point of contact for all program-related questions or inquiries, working closely with members of the shadowing and outreach team, including students and professionals, collaborating with other leads and department heads for marketing, overseeing all operations within the shadowing program, among others. |
The Live Session Assistant Lead directly assists the Lead of the Research Program with tasks, maintenance, and organization to ensure all operations are smoothly running, among others. The assistant is also responsible for creating reports to track insights and to provide constructive feedback to the team and initiate new ideas. |
The Lead of the Mentorship Initiative oversees the mentorship program. This includes (but is not limited to): maintaining organization within the program, acting as the main point of contact for all program-related questions or inquiries, working closely with members of the mentorship and coordination team, including students and professionals, collaborating with other leads and department heads for marketing, overseeing all operations within the mentorship program, among others. This role is projected to start in Fall of 2022. |
The Mentorship Assistant Lead directly assists the Lead of Mentorship Initiative with tasks, maintenance, and organization to ensure all operations are smoothly running, among others. The assistant is also responsible for creating reports to track insights and provide constructive feedback to the team, and initiate new ideas and activities. This role is projected to start in Fall of 2022. |
The Legal Department Head is responsible for ensuring that the projects and processes of the HR Department run smoothly under their supervision. They are expected to maintain consistent and close contact with all Leads and assigned Lead Managers. They should be prepared to discuss and address any department-specific issues to the best of their ability. Department Heads should be aware of and enforce deadlines set between themselves and their leads and ensure timely completion of department-wide activities to ensure that PHS operations are not hindered. The Legal Head shall report directly to the Board. The Department Head shall ensure all facets of PHS are acting accordingly to the rule of law and that all internal policies adhere to 501c3 operating standards. |
The Lead of Contracts shall research, draft, and finalize contracts with external parties. They will be responsible for presenting drafts of Agreements and MOUs to the Board and Legal Department Head. |
The Lead of Legal Research shall be responsible for researching case law, fundraising/finance law, and non-profit law. They shall compile internal reports for the Board regarding findings. Additionally, they shall ensure all internal documents are marked confidentially in strict accordance with Intellectual Property Law. |
The Legal Liaison shall be responsible for establishing and maintaining points of contact within the legal community for pro bono resources for Pre-Health Shadowing. |
The HR Department Head is responsible for ensuring that the projects and processes of the HR Department run smoothly under their supervision. They are expected to maintain consistent and close contact with all Leads and assigned Lead Manager(s). They should be prepared to discuss and address any department-specific issues to the best of their ability. Department Heads should be aware of and enforce deadlines set between themselves and their leads and ensure timely completion of department-wide activities to ensure that PHS operations are not hindered. |
Lead of Recruitment is responsible for vetting new and potential applicants to the PHS Leadership Team. This Lead should work closely with the appropriate individuals to choose applicants for interviews based on the readiness of their submitted applications. Depending on the information provided by the applicant, this Lead will direct the applicant to interview with an appropriate and current Team Member to assess their candidacy. This Lead should keep careful track of all chosen applicants, the notes provided by Team Members assigned to interview them, and the applicant’s status as they progress through the application process. The Lead of Recruitment should be prepared to report any and all progress to the Department Head. Works closely with Lead of Onboarding. |

The Lead of Compliance is responsible for ensuring that the relationships and processes have undergone between PHS and other entities adhere to established standards. This Lead is responsible for identifying and subsequently addressing transgressions that may arise by whatever means are necessary. They should also formulate an efficient and productive way to maintain contact, or at the least a check-in process, with other departments in order to ensure compliance. This Lead is expected to maintain a careful and organized record of identified issues, actions are taken to address them, and outcomes. The Lead of Compliance should be prepared to report any and all progress to the Department Head, as well as be willing to communicate with the necessary individuals to address a given situation. Depending on the severity of the offense, this Lead may elevate issues to higher management levels following discussion. |

Lead of Onboarding is responsible for guiding accepted PHS Team Member applicants through the onboarding process. This Lead should track the progress and completion of candidates’ training and be prepared to assist them with any issues that may arise. The Lead of Onboarding will work closely with the Lead of Recruitment to most optimally recruit and onboard persons that would best suit vacant roles. Should be prepared to report any and all progress to the Department Head. |

Lead of Professional Relations is responsible for recruiting healthcare professionals for participation in the PHS programs (i.e. for virtual shadowing sessions). This includes conducting mass outreach and, once responses are received from those contacted, guiding the professionals through the booking process whilst ensuring that all relevant processes are running smoothly. This Lead will be expected to: organize volunteer teams to (1) collect professionals’ contact information and (2) perform outreach using this contact information using an organizational email template, finalize bookings, and be the main point of contact for professionals who intend to participate in PHS programs. This Lead must be diligent and timely with assigned responsibilities, and keep careful track of contacted and responsive professionals. This Lead will work with the Lead of Shadowing Live Sessions to best organize these events. The Lead of Professional Relations should be prepared to report any and all progress to the Department Head. |

Lead of Academic Partnerships is responsible for performing outreach and being the point of contact for outside academic institutions (schools, MCAT prep companies, etc.) in order to organize potential collaborations and partnerships with PHS. Responsibilities include asking academic institutions to endorse the legitimacy of PHS virtual shadowing hours (ex. via school counselors), seeking partnerships with academic prep services, etc. This Lead must be willing to propose and execute new and relevant ideas/projects which are meant to broaden the exposure and reputation of PHS in the academic world for the benefit of pre-health students who utilize our services. Should be prepared to report any and all progress to the Department Head. |

The Lead of Student Outreach is responsible for performing mass outreach to students who may have reasonable and potential interest in PHS programs and services. Should be prepared to report any and all progress to the Department Head. |
The DIW Department Head is responsible for ensuring that the projects and processes of the DIW Department run smoothly under their supervision. They are expected to maintain consistent and close contact with all Leads and assigned Lead Manager(s). They should be prepared to discuss and address any department-specific issues to the best of their ability. Department Heads should be aware of and enforce deadlines set between themselves and their leads, and ensure timely completion of department-wide activities to ensure that PHS operations are not hindered. |
Lead of Diversity and Inclusion is responsible for ensuring the maintenance of a welcoming and inclusive environment within the PHS community. Actively seeks to identify areas of improvement regarding diversity and inclusion, and works to identify and address current issues in this realm. Is the point of contact for individuals who may have diversity/inclusion-related concerns. May review PHS projects to ensure that inclusive standards are met. Should be prepared to report any and all progress to the Department Head. |
Lead of Wellness is responsible for ensuring the well-being of the PHS community as a whole. Will be expected to oversee/respond to weekly check-ins and host community hours meant to facilitate organization-wide communication and bonding. Is the point of contact for Team Members who may be experiencing mental or emotional distress, and actively works with them to address their grievances. If problems are related to PHS work, Lead of Wellness mediates contact between the necessary individuals to attempt and alleviate/rectify issues. This Team Member is expected to maintain standards of professionalism, including a responsibility to maintain the privacy and good faith of those they aid. Should be prepared to report any and all progress to the Department Head. |
Lead Activity Coordinator is responsible for overseeing organization-wide PHS activities. Is the point of contact for those who wish to propose ideas, and is responsible for organizing events and ensuring that they run smoothly. Ensures that Team Members are consistently kept up-to-date on planned and upcoming events and that notifications are sent in a timely manner. The Lead Activity Coordinator may also collaborate with various departments to organize department-specific events and related concerns. Should be prepared to report any and all progress to the Department Head. |
Lead of Community Engagement is responsible for helping PHS personnel–volunteers and Team Members–to be involved in the surrounding community through various means. This Lead must be willing to propose and execute new and relevant ideas/projects which are meant to heighten community engagement, increase the exposure of the organization, and promote bonding within and beyond the PHS community. Should be prepared to report any and all progress to the Department Head. |
The Editorial Department Head is responsible for ensuring that the projects and processes of the Editorial Department run smoothly under their supervision. They are expected to maintain consistent and close contact with all Leads and assigned Lead Manager. They should be prepared to discuss and address any department-specific issues to the best of their ability. Department Heads should be aware of and enforce deadlines set between themselves and their leads, and ensure timely completion of department-wide activities to ensure that PHS operations are not hindered. |
Editorial Research Lead is a temporary role lasting the duration of the PHS Book Project (Expected end date: June 2022). This Lead directly manages and communicates with volunteers working on the Project, performs outreach to professionals for Project purposes, conducts and records interviews with professionals regarding their work through COVID-19, and provides transcripts of interviews for further discussion and use. Dedicated volunteer teams may be created to facilitate these processes. Should be prepared to report any and all progress to the Department Head. |
Editorial Volunteer Lead is responsible for managing the volunteers of the Editorial department–assisting them with writing and researching blog posts. This Lead will be expected to collaborate with volunteers to design writing prompts catered to their interests, experiences, skill level, and knowledge. Answers inquiries about blog posts, and edits blog posts before submission to Department Head. Is expected to maintain consistent contact with volunteers. Should be prepared to report any and all progress to the Department Head. |
Department Head of Editorial Department doubles as Editor-In-Chief. Is responsible for reviewing and editing all written works slated for publication on behalf of PHS. |
The Volunteer Department Head is responsible for aiding and guiding all members of the Volunteer Department. This will involve close communication with both the PHS Management Team and the individuals in the volunteer department. This individual will serve as a role model and leader among the entire department. This includes but is not limited to reviewing reports from the Leads, hosting regular meetings with the volunteer department, and attending regular meetings with the leadership team. |
This individual will be responsible for communication among all volunteers at PHS. The ideal candidate is comfortable speaking with others over Zoom, chat, and email and has good writing skills. Specific roles include but are not limited to running the volunteer email account, hosting weekly drop-in office hours for volunteers, creating the monthly newsletter, and onboarding project volunteers. |
This individual will serve as an assistant to the Lead of Volunteer Communications. The ideal candidate is comfortable speaking with others over Zoom, char, and email and has good writing skills. The Assistant Lead will work with the Lead to develop a schedule and task list to maintain proper communication with all volunteers as a team. |
This individual will be responsible for communicating with and working alongside leads in other departments that collaborate closely with the volunteer department. This position will involve close interaction with all of the PHS leadership team, especially the IT department. Specific roles include but are not limited to creating new project teams for different departments, recruiting volunteers for new projects, developing and overseeing an accountability system for project volunteers, and maintaining the volunteer hub on the PHS website. |
The Assistant volunteer lead liaison will assist the Lead Volunteer Liaison with all necessary duties. This individual will work with the Lead Volunteer Liaison to develop a schedule and task list for all tasks specific to the Liaison role. |
This individual will be responsible for maintaining the dynamic and ever-changing volunteer opportunities within PHS. The ideal candidate is creative and likes to develop new ideas into thriving projects. Roles include but are not limited to maintaining the volunteer ideas board where volunteers can submit their thoughts for new projects, onboarding and guiding volunteer leads, and developing new volunteering opportunities. |
The Assistant Lead of Volunteer Innovation will help the Lead of Volunteer Innovation to fulfill all of the duties of the Volunteer Innovation sector. They will work with the Lead of Volunteer Innovation to develop a schedule/task list and complete these roles as a duo. |
